What I Check First When a New Client Comes to Me

Curious about what happens when you first work with a bookkeeper? In this post, I share what I check first when a new client comes to me — and how I help make bookkeeping feel calmer, clearer, and far less overwhelming from day one.

When a new client gets in touch with me, the first thing I want them to know is this:

  • You don’t need to be embarrassed.

  • You don’t need to apologise.

  • And you definitely don’t need to have everything perfectly organised.

Most people reach out because something doesn’t feel quite right. Maybe bookkeeping keeps getting pushed to the bottom of the to‑do list. Maybe you’re unsure if you’re doing things properly. Or maybe you’ve just had that quiet worry in the back of your mind that you should be on top of it by now.

That’s completely normal — and it’s exactly why I’m here.

So, when we first start working together, here’s what I actually look at.

First things first: where are you at right now?

Before we dive into software, spreadsheets, or HMRC deadlines, I take a step back and look at where you’re starting from.

  • Are your records mostly up to date?

  • Are they half done?

  • Or have they been sitting there untouched for a while?

There’s no right or wrong answer. Knowing where you are helps me support you properly — without overwhelming you or making things feel rushed.

How are you currently keeping track of things?

Everyone does this differently, and that’s okay.

Some people use accounting software. Some use spreadsheets. Others have a mix of bank statements, apps, emails, and screenshots.

I’ll chat through:

  • How you’re tracking income and expenses

  • What feels easy for you

  • What feels confusing or time‑consuming

My aim isn’t to change everything overnight. It’s to help you find a system that works for you and fits around your business and life.

Is everything set up properly?

This is one of the most important parts — and often the most overlooked.

I’ll check that you’re registered correctly, using the right method, and set up properly for things like Making Tax Digital if it applies to you.

Small setup issues can quietly cause bigger problems later, so catching them early can bring a huge sense of relief.

What’s been worrying you?

Sometimes the biggest issues aren’t obvious in the numbers.

You might be worried about:

  • Missing expenses

  • Being behind with submissions

  • Letters from HMRC you don’t fully understand

  • Not knowing what you can or can’t claim

I always make space for these conversations, because bookkeeping isn’t just about numbers — it’s about feeling confident and in control.

What do you actually want going forward?

Not everyone wants the same level of support — and that’s perfectly fine.

Some clients want everything taken care of so they don’t have to think about bookkeeping at all. Others want help getting organised and then ongoing support.

We’ll talk through what works best for you now, and what might help as your business grows.
